This position will be based in Ho Chi Minh, Vietnam.


Administrative Assistant has responsible for preparing and processing trip planning for audit and inspection performance, notifying all parties the scheduled audit date, maintaining and updating work order calendar, handling all parties requests and adjusting schedule, changes, issues, and inquiries to appropriate division or personnel.

  • Collecting and filing auditor expense receipts
  • Collecting, filing and documenting office bills invoices and forward the invoices to the accounting in Singapore
  • Collecting, filing, and documenting invoices for RS and QA team. Submit to finance in SGP on time
  • Maintaining employees data base (general information) and report to supervisor / manager
  • Coordinating and assisting Ops. Coordinator for auditors travelling arrangement (Flight and hotel booking, car rental booking, etc)
  • Collecting audit files from auditors and organize the files. Audit files eFiling for certain client
  • Ensure the necessary blank audit forms are available (Audit file checklist, statement of integrity, interview sheets, H&S checklist, plastic folders for audit files, etc)
  • Handling Office mails delivery
  • Other tasks as needed to support Indonesia office / SEA QA and RS operations such as arrange company event, meeting, facilitate for seminar and training arrangement, etc
  • Handling monthly report for RS and QA
  • Qualifications

    Successful candidate should ideally have a Higher Secondary Education plus 3 to 5 years of related administrative assistant experience.

    He / She should demonstrate ability to use various PC-based software packages for moderately complex word processing, graphics and spreadsheets.
