IFF Vietnam office is inviting a customer service oriented individual to join us as Customer Service Executive, Fragrances .
This is an excellent opportunity for junior level customer service excellence experienced talent to be part of a global leading Flavors & Fragrances house!
Reporting to Commercial Manager Fragrances Vietnam, the Customer Service Executive is the in-house contact for IFF’s Fragrances customers and affiliates, coordinating all order requirements efficiently through the appropriate departments to meet On Time Performance for the organization.
Maintain purchase orders from customers in SAP Order Management, ensure items, price, shipping schedule are administered or updated on system accurately.
Resolve any issues and provide coordination related to purchase orders, shipping document, delivery schedule and goods quality.
Manage shipping documents to ensure all documentation are administrated to customers on time.
Request technical documents for all local customers in IFFMan, preparing monthly forecast for Singapore plant.
Responsible for managing petty cash fund for Fragrances Vietnam and prepare reports for any reimbursement. Work closely with Chief Accountant to ensure all expenses are in compliance with IFF policy and local statutory requirement.
Handle all service contracts of IFF Vietnam.
As the purchasing agent negotiate best quotation for all Vietnam office purchasing needs of common shared items and Fragrances business unit items.
Resource and select most efficient vendor / supplier and ensure efficient purchasing process.
Administration and delivery of samples to support Fragrances Commercial team.
Perform secretarial and administrative work as required.
Any other tasks, assignments or service support will be assigned and adjusted accordingly.
Bachelor Degree in Business Administration, Chemical, Logistics, Marketing or any other relevant discipline.
Strong experience in SAP or any ERP or data management programs.
Proficient in Microsoft office suite; Excel, Power Point, Words.
Strong communication skills both written and spoken, effectively bilingual in English and Vietnamese language.
Detail oriented and analytical, good with data and administration.
Independent, ability to work with minimum supervision.
Good customer service orientation, passion for service excellence.
Ability to multitask or handle multiple demands at timely basis with high accuracy.
Good interpersonal skills, adaptable and flexible.
Minimum 2 years relevant experience in customer service, sales and marketing or customer service support environment.
Experience coordinating, planning, orders processing and supporting daily operational and administrative functions.
Experience in orders processing administration on SAP, ERP or data management programs.
Logistics customer service experience.
