Office Management

  • Manage the office equipment (laptop, LCD, machines, utilities, etc) and directly work with vendors to deal with problems, failures, warranty, maintenance, change...etc.
  • Plan to order, manage and provide stationeries to internal needs
  • Liaise and deal with vendors including cleaning, catering, security, renting agencies, etc.
  • Manage all the Admin documentation and related legal papers, track and implement the renewal / liquidation...etc with vendors
  • Address employees query regarding office management issues (e.g. office facilities, office services, admin items, etc.) and collect the feedback on services and cost data for reporting
  • Handle Office decoration for Seasons such as Halloween, Christmas, Tết, etc.
  • Lead the cleaner to keep the office be tidy and clean
  • Purchasing

  • Plan, manage and optimize Admin budget, conduct the search for the suitable vendors and negotiate the profitable options.
  • Proceed to purchase including order, booking, purchase, agreement, delivery, payment.
  • Update and track stock / facilities lists, manage the store, provide data for reporting
  • Reception

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and meeting room
  • Answer, screen and forward incoming phone calls
  • Internal Events

  • Organize the employee engagement events such as Happy Hour, Year-end Party, Sport festivals, etc. under approved plan and budget
  • Every quarter, propose solutions or suggestions to improve service quality or contribute to team effectiveness
  • Other duties as may be assigned by line manager
  • Key requirements :

  • At least 1 year of working experience in Admin and Event
  • Strong skills with Microsoft Office, customer services and information management
  • Hands-on experience with office equipment
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Good English skills is preferable
