Purpose of position : Receptionist cum Admin Officer will be responsible for Reception service and to provide a range of administrative support services, as a member of HR & Admin Department, to ensure the efficient and effective day-to-day running of Melchers Vietnam.

Key Responsibilities : Front Desk Duties Greet visitors and assist them with company-related enquiries. Receive, sort and distribute daily mails / parcels.

Courier outward mail / parcel. Answer, screen, and forward incoming phone calls Ensure reception area and office is tidy with all necessary stationery and material (e.

g. pens, forms and brochures). Provide basic and accurate information in-person and via phone / email Maintain office security by following safety procedures and controlling access via the reception desk Perform other clerical receptionist duties such as mailing, filing, photocopying, transcribing, and faxing Admin Duties Take charge of purchasing office supplies, coordinates with agency / suppliers to get quotations depending on the needs of business.

Manage and evaluate supplier : car rental, maintenance, IT Coordinate rental cars and taxi-cards for employees as necessary.

Arrange meeting room and appointment. Arrange and manage travel bookings (visa, transportation, accommodation, ) for employees (except technical service team) and guests Assist with tracking Admin budget and expenses.

Support expat affairs (housing, transportation, visa, work permit, temporary resident card, etc). Prepare the monthly report and payment requests for telephone, internet, transportation, stationery, taxi, etc.

Liaise with the health care insurance company to follow up health care and personal accident claims for employees. Other tasks assigned by HR & Admin Manager.

Requirements Degree : University bachelor’s degree in business administration, English Fresher is welcomed. 1 - 2 years secretarial and / or administrative working experience in a similar role is a plus.

Experience in the international environment. Fluent in English Language, both spoken and written. Excellent computer applications knowledge e.

g. MS office Good physical outlook with excellent interpersonal skills, a pleasant personality. Able to learn and put into practice new skills and knowledge.
