Mô tả công việc

1. Office administration services :

  • Purchase office supplies and stationery;
  • Provide administrative assistance to staff and management;
  • Organize staff activities.
  • Greet visitors and direct them to appropriate staff; answer incoming phone calls and transfer them to relevant staff;
  • Coordinate the distribution of incoming and outgoing mails;
  • Coordinate travel and lodging accommodation for staff , management and visitors;
  • Coordinate the services of visa and resident cards for expatriates and foreign visitors;
  • Liaise with the building management to maintain good office services (air conditioning; power, hygiene, safety,etc.);
  • Ensure good condition of medicine chests in the studio;
  • Maintain and update contact lists;
  • Register parking for staff, house leasing for expatriates, etc;
  • Provide cell phone bill support and taxi cards / taxi vouchers to staff as requested by relevant HR authority;
  • 2. Office management :

  • Handle petty cash, cash call per month and control office expenses;
  • Supervise hygiene and maintenance services;
  • Coordinate the repair and maintenance of office equipment;
  • 3. Database and reports :

  • Administer the door access database;
  • Maintain and deliver administration reports accurately
  • Prepare other administration reports as required.
  • 4. Other tasks :

  • Advise the management on changes or solutions to improve the office management when necessary;
  • Follow up office administration contracts;
  • Perform other ad hoc tasks as required.
  • Yêu cầu công việc

  • Proficiency in MS Word, MS Excel, e-mail, internet, etc.;
  • Good command of English in reading, writing, listening and speaking;
  • Good knowledge of general administration and office protocol;
  • Good organization skills;
  • Strong communication and interpersonal skills;
  • Open-minded and strong service mindset
  • Be calm, patient and control the emotion well
  • Good sense of responsibility and teamwork.
