DESCRIPTION

You will work in a brand-new office of a multinational company and a professional environment. Your job will be to help provide a pleasant experience for people working and visiting the office.

Office Supplies

  • Ensure the operation and quality of office machinery including photocopier, scanner, fax, main office phone and deal with suppliers when needed.
  • Ensure the operation and quality of utilities including drinking water and machine, coffee machine, fridge, microwave and dealing with suppliers when needed.
  • Order snacks and beverages.
  • Check the need and ensure the availability of stationery.
  • Estimate and request the monthly payment for office supplies.
  • Take care of minor office maintenance. Contact the building service team for any issues with lights, electricity, air conditioners and safety.
  • Supervise the tea lady's work, ensure the quality of office hygiene, cleanliness, tidiness, and the quality of snacks and beverages.
  • Arrange the seating place for people working in the office; ensure the seating map is updated and published.
  • Manage the use and inventory of working desks, drawers with keys, chairs, meeting rooms, and pantry.
  • Travel and expatriates support

  • Be the admin for the company's Grab account, supervise its uses follow management approvals, and process the monthly payment.
  • Work with agencies for airline-tickets, accommodation, travel insurance, visas and work-permits (if needed).
  • Arrange air-port pick-up service, dinning reservations and outing trips.
  • Assist expats in the work-permit application procedures
  • Reception

  • Greet and take visitors' sign-in / sign-out
  • Receive phone-to-office calls and take messages
  • Handle incoming and outgoing post mail
  • Manage the office access of employees, outsourcers, and visitors; ensure the access permissions are compliant with the security & safety policies;
  • ensure the access log is kept, backed up, and the access report is submitted upon management's request.

    Others

  • Support in organizing company parties and events
  • Follow the coaching and functional job assignments by the Finance & Admin Manager
  • WHAT YOU NEED FOR THE JOB

  • At least 3 years of experience in similar jobs
  • Ability to work independently
  • Demonstrated strong organizational skills, including time management and ability to prioritize and manage a range of tasks pro-actively
  • Good communication skills, both written and oral in English and Vietnamese
  • Experience in large / multinational work environments, IT industry or working with expats is a plus
  • Strong skills using Microsoft Office Suite
