Role : Office Manager
Reports to : Chief Representative, ING Hanoi Representative Office
Overview
To provide full secretarial, administrative and non-financial risk management support to the Representative Office and assist business in Vietnam
Business Support
Research and data gathering
Organize travel arrangements and prepare travel itinerary / meeting schedule for the department
Prepare claims and travel expenses for payment
Assist in preforming liaison functions and promoting investment project of ING Bank N.V. in Vietnam
Office Administration
Arrange monthly payments for office expenses
Arrange stationery supplies, including presentation materials, consumable parts of the office equipment
Keep record and filing of documents for the office and administrative stuff
Other administrative tasks when required
Legal / Compliance (in consultation with Regional Legal & Compliance)
Updating / filing of various forms regarding compliance issues
Assist the Chief Rep to co-ordinate with external lawyers and ING Compliance on licensing / post licensing issues
Assist the Chief Rep to provide support in legal and secretarial matter in the day to day operations of the entity
Others
To support the Chief Representative in the day-to-day operations of the entity. These activities include acting as a designated local representative for functions such as Compliance, Finance, HR, Crisis Management / BCM, Operations, IT and ORM
Key Competencies
Qualifications : Bachelor degree in Banking, Finance, or related fields
At least 3+ years working experience in Banking & Finance industry, preferably in international banks
Fluent command of English for both written and verbal
Ability to thrive under dynamic environment and multi task in a timely manner
Excellent office administration skills to ensure the office’s smooth operation
Good planning, management and organizational skills
Has an eye for detail
Ability to work independently as well as efficiently in a team to be proactive in solving problems
Good interpersonal skills
