COMPENSATION & BENEFITS (60%)
Prepares the compensation and benefits budget, including the regular monitoring, reporting and adjusting of the budget
Coordinates C&B processes like the salary planning, bonus planning, new benefits introduction, etc.
Designs and develops compensation policies
Analyzes different components of the remuneration scheme in the organization and prepares reports about the internal equity and external competitiveness
Designs and develops different schemes of the variable remuneration (incentive schemes for the Sales functions, bonus schemes for the Back Office and Enabling functions)
Closely cooperates and manages the relationship with the external compensation consulting company
Leads and manages compensation projects
Design policies to close gaps in the compensation of employees
Payroll
Review store timesheet
Review reports submitted by SICs including number of hours to pay, overtime payment, shift payment, commission, incentive and deductions
Provide treatment for all payroll, personal income tax and social insurance items to ensure maximum compliance with local legislation
Update new joiners, resignees and staff transfer to SG HR
Submit monthly timesheet & commission to HR team for approval.
Monthly tracking of confirmation cases and follow-up on completion of appraisal forms
Upload, proceed and follow up to pay salary via bank system
Send monthly e-payslip to employees
Prepare monthly and yearly payroll reports
Employee Benefits
Review of corporate insurance benefits annually
Review monthly report of change in list of employees under insurance plan
Social Insurance ( SHUI ), Personal Income Tax ( PIT ), Labour & Immigration Law Compliance
Consult the process for personal income tax and social insurance from time to time to ensure
compliance with local legislation
Review monthly SHUI reports and process
Reconcile the SHUI contribution responsibility monthly, quarterly, yearly (if any) with Social
Insurance department
Review the monthly and quarterly PIT declaration & a submit to tax department
Review annual PIT finalization filing and payment
Process employee income tax receipt annually
Review and submit tax receipt report
Liaise with respective authority bodies in case of inspection or any related matter
HR Administrative
Set up local HRIS according to the business requirement from time to time
Review and follow up probation contract / labour contract / termination letter / promotion letter / warning letter to employee.
Update of Team Org Chart and Staff Information list.
Review the Labor report for Vietnamese Labor dept.
Translate and update of JD for all positions.
Other tasks as assigned.
RECRUITMENT & ADMINISTRATION (40%)
Support recruitment and employer branding where necessary
Manage third-party vendors from time to time for smooth daily operation of office and stores
Manage expenses and payments for vendors to be processed on time
Review and comment on terms & conditions for commercial contracts not under Finance
Review and comment on terms & conditions for commercial contracts not under Finance
Process of contract execution and filing
Manage the corporate documents / licenses and official seal
Organize internal events and activities for employee engagement
Other tasks as assigned.
Decision making :
After consultation with manager or others
Payroll / SHUI / PIT processing and HR administration within legislation guideline and company
policy
Execution of day to day duties in line with Norbreeze policies and procedures
Key attributes :
2-6 years of hands on experience in compensation & benefits role, with emphasis on payroll
process
Sound understanding of Vietnamese employment, PIT and SHUI legislation
Proficiency in working with financial statements, numbers and reports
Preferably experience in Retail industry
