Makes documentation & reports as instructed by the Production Manager relate to production such as Output both FOB / Containers / Labor Hours.
Process flow charts agreed Memoranda, PR and PR summary, 5'S audit report, Employees / Materials documents and MUST file / keep properly for traceability, follow-
ups, and creates useful historical data.
Makes update of Organization Structure of the Division given the direction of Production Manager.
Follow-up output to all key Line senior Supervisor especially when Manager is out for meetings, then by getting information must update to manager from time to time.
Makes memorandum and disciplinary action in writing and or follow-up with, Human relation officer on erring employees, and make sure our workers undergo proper investigation
Make sure that All Supervisor and Staff has Folders for both their work performance, some written guidance or memoranda and disciplinary actions.
This is to make sure Div personnel has all files required for KPI
Monitor dust board reports to its graphs trend given direction of the Production Manager
Follow-up works with dept. Planner / Clerk in making sure signing-off output and or weekly achievements summary are done in timely manner, properly file, summarize for the KPI (key performance Indicator) use on annual performance review
Make sure necessary documents are file properly and accordingly so its readily available when we need it
Leads and Monitor any ongoing productivity support projects like cost reduction, Quality control action / solutions, 5'S program, cost reduction process and projects, Kaizen and other production relate activities supporting the efficiencies and materials utilization on the shop floor.
To work closely other support department’s follow-up PR, checking cost, asking estimated time delivery time.
Assist Production Manager making sure all Target output monitoring boards all area section is file-in each early morning
Help to air out feedback on quality problems, material defects, technical issues, and personnel concerns so this will elevate to the Production Manager if not settled accordingly
Reminds Production Manager 30minutes before the meeting schedule, so can prepares necessary documents as requested to full fill the meeting requirements
Must ensure to avoid confusion on wrong translation from English to Vietnamese and vice-versa that will result to misunderstanding
Translates from time to time in production area so proper understanding on instructions are carried over accordingly
Works closely with the Supervisor to make sure language barer, will not be the restriction to meet plans, goals and objectives of the department
Works with other staff / clerk making sure materials forecast documentations are updated orderly and timely, reviewed constantly so it will not have materials shortage as running production
Help facilitate other papers work like performance review for key person, overtime request and other relate documents for manager to signed
Make sure and Leads office staff to clean and organize the Office using 5'S principle including the Production Manager office
Prepares Manager's roster duty on Overtime (will discuss in details)
Make sure no delays on submission of Departmental Efficiency report
Offers help other office staff when needs arise
Does other task given by the Production Manager related to work and Division activity, that attributes better organization and set-
up of the division or department
Skills & Competencies :
Computer literacy especially Microsoft office
Team Player and can communicate with other level or Organization
English spoken fluency and good counselor of Vietnamese workers
Has basic knowledge in Planning Materials and reporting
Self-starter person, when given clear directions and goals
Also have the skill to motivate subordinates and let them understands any given situation
