Overall purpose of the job : The Personal Assistant shall provide responsive, effective and efficient administrative support of a highly confidential and sensitive nature to the CEO.
He / she is expected to be fiercely loyal, committed and dedicated and to possess the highest level of integrity. By always staying one step ahead of the CEO, he / she ensures that the CEO is productive and focused.
Ultimately, to be successful in this role, the Personal Assistant must be a pleasure to work with, have utmost flexibility, have the energy to keep up with, and uncompromisingly deliver a top-notch professional service to the CEO.
Administrative support including but not limited to : Calendar management in a sophisticated manner, knowing what and when to prioritize, while troubleshooting conflicts with little guidance;
when necessary, use judgments and make recommendations to ensure smooth and effective use of time.
Provide technical support to CEO regarding the day-to-day operation management of the company.
Coordinate, monitor, verify and follow through of project works / instruction / assignments / documentation instructed by CEO to Company division’s
Provide cabin translation and interpreter for assigned meeting (if any).
Participate in business plan preparation team coordinator for the task force ensure the business plan will be approved on time according to BOD resolution.
Monitor & Update quarterly the High priority table one week before Board of Management quarter review.
Prepare / Coordinate BOD / MEETING presentation.
Coordinate with respective Divisions upon CEO request
Check and verify document to be signed by CEO follow approved Chart of Authority / Company council list
Follow up and coordination support
Follow up with other executives and support staff on outstanding tasks to ensure a high performance and execution-oriented work environment
Assist with onboarding of new direct reports of the CEO and track progress throughout induction period
Serve as gatekeeper of CEO’s office vis a vis people and documents
Review, determine priority and route incoming requests and correspondence
Screen materials and reports to ensure compliance, accuracy and completeness prior to arranging for signature
Refer matters to appropriate departments and / or executives for action or solution
Perform other duties as assigned from time to time.

Bachelor’s degree in business, economics, finance / accounting OR communications, public relations, English, international studies.
Minimum 2 years working experience in English-speaking environment in administrative, secretarial or client service capacity.
Willing to work outside of ordinary business hours.
Commit to be reachable at all times.
Language skills : Fluent in written and spoken English.
Writing skills : Business correspondence writing.
Note taking skills : Demonstrated experience recording accurate minutes of meetings and overall pen to paper habits
